AI in the CRM: scores, briefs, drafts and the Sales agent

Deal scores you can explain, a brief on every deal and company, one-press next steps, follow-up drafts that are never sent for you, and a forecast in plain words.


When your workspace has AI agents switched on, the CRM gains a set of helpers. Everything a helper says rests on records you can already open, and nothing is sent or changed without your press.

Deal scores

Every open deal carries a score from 0 to 100 on its row, its board card and its record, marked Strong, Fair or At risk with a matching shape. Hover, focus or tap the score to see exactly why: each factor and the points it adds or takes away.

The score is computed, not guessed

Scores are worked out by code from the deal's own data and are the same for everyone who opens the deal. AI only explains them. A score is saved once a day so you can see whether a deal moved since last week.

Briefs on deals and companies

Open a deal or a company and the brief at the top says what happened, what is next and what the risks are. It is written from the record's activity and tasks, meetings with the customer that you can see, emails from the customer in your own mailbox, and, if you can see Finances, whether a won deal has an income source. The list of records it rests on is one press away. When AI is not available the brief is written straight from the records instead, and says so.

Next best actions

  • Move the close date or Set a next step opens the record's details on that field.
  • Draft a follow-up email writes a draft for you to review.
  • Call the contact adds a CRM task.
  • File the latest meeting adds the meeting's summary to the record's activity.

Follow-up emails are drafts

A drafted follow-up is saved to your drafts and opens in Mail with the subject and message filled in. Nothing is sent until you press Send there. You can also copy it.

Meetings and emails onto the record

Meetings and emails with the customer that are not on the record yet are listed under the brief. Press File the summary or File the email to add one to the record's activity. Nothing is filed on its own.

The forecast

The Reports tab opens with a forecast: open pipeline, weighted pipeline, commit and best case, what is expected to close in the next 30 days, what has slipped and how the quarter is going. Every figure is shown in its own currency and never converted. The words around the figures are drafted by AI when it is available.

The Sales agent

An admin can hire a Sales agent from the Agents page. It checks the pipeline on a schedule and raises a deal when nothing has been logged for a set number of days (14 unless changed), it has sat in its stage longer than usual, its close date has passed, it has no next step, or it is won but has no income source. It suggests a fix: a follow-up draft, a task for the owner, or a new close date.

It never changes a deal on its own

The Sales agent can add a task or write a draft when it is allowed to. Moving a close date always waits for somebody to say yes, and it can never send an email.

Ask your CRM in Hoot

Ask Hoot things like "which deals are at risk?", "what needs attention in the pipeline?" or "how is the forecast looking?". Hoot reads the same scores, findings and forecast figures you see in the CRM.

Who can see the scores and briefs?

Anyone who can open the CRM. A brief only uses records the reader can open, so two people may see different briefs if one of them has emails or private meetings the other cannot see.

Does this use AI credits?

Briefs, follow-up drafts and the forecast summary use a small amount, counted under CRM in your workspace's AI usage. A brief is remembered until the record changes, so opening it again costs nothing. Scores and the Sales agent's checks use none.

Can I turn it off?

These helpers come with AI agents. When agents are switched off for the workspace, the CRM looks and works exactly as it did before.
