A clinical rota is not a nine-to-five week.

Twelve-hour rotating blocks that the availability checker, Autopilot and the presence dot all obey - so someone on nights reads as working at 02:00 rather than away. A redaction pass over meeting text before anyone reads it back. A log the database itself refuses to let anyone edit. The mandatory training record, the policy that comes back acknowledged by name, and the intake procedure that runs the same way in every department. Choose Healthcare Administration at setup and all of it is queued from day one.

A day on the tools

What changes, in the hours it actually changes.

Three moments from an ordinary week. Every one of them is a thing the product does, not a thing it could be configured to do one day.

01

07:00

the handover round, and a rota that knows who is on

The Shift-Based Scheduler replaces 9-to-5 logic with rotating blocks, and the same resolver answers every question that depends on them: the availability checker offering a slot, Autopilot scheduling a task, and the presence dot next to a name. The night team reads as working at 02:00, not away, and Team Availability shows who is on leave and until when before anyone is booked into a room they will not be in. The handover round is recorded with the steer written for it, and the actions it produces land with an owner.

02

10:30

an admin meeting mentions a patient

The PHI Redaction Engine runs as the first step of the meeting pipeline, the single point every capture path shares. The scrub covers the meeting record, the action items, the tasks the meeting created and the RAID entries written in flight - and an admin redaction log records the categories and counts that were caught. Every meeting also carries a record of what the people in it were told about the recording, and a blank is shown as a blank, never as a reassurance.

03

16:00

the inspector asks for the evidence

Training shows each mandatory course and certification per person with its provider and its status. The revised policy went out through the Policy Library with its effective date and came back acknowledged by name, and the list of who has not answered is one filter. The intake procedure ran as a Checklist in every department, ticked step by step. And the Compliance Audit Logger is append-only where it counts: the database itself refuses UPDATE and DELETE on the event table, so an inconvenient row cannot be edited away by anyone, including an administrator. Export it as CSV or JSON when it is asked for.

The shape of the work

How Healthcare Administration actually runs.

Each of these is a project in Noots - its own board, tab strip, meetings, calendar and members. They are not pre-built modules and we will not pretend they are: what the industry gives you is the right defaults around them.

Made for Healthcare Administration

The three that do the heavy lifting.

Choose this industry during setup and its tools are queued for you. Review the list, drop anything you don't want, and the workspace initialises with the rest already working - or install any one of them on its own, later, from the marketplace.

PHI Redaction Engine

A deterministic scrub over meeting text, wired into the one pipeline step that every capture path runs through, with an admin log of what it caught.

What it doesQueued at setup
  • Covers transcripts, summaries and action items
  • Also covers meeting-created task titles and RAID entries
  • Deterministic rules, not a model guessing
  • An admin redaction log of categories and counts

Shift-Based Scheduler

Rotating 12-hour blocks in place of 9-to-5 logic - and one resolver, so availability, Autopilot scheduling and presence never disagree.

What it doesQueued at setup
  • 12-hour rotating blocks replace 9-to-5 defaults
  • The availability checker honours them
  • Autopilot assigns and books against them - it will not hand somebody work due while they are off, and it will not put a meeting in their sleep
  • The presence dot is shift-aware, including overnight rotas

Compliance Audit Logger

An append-only record of decisions, approvals and access events - enforced by the database, not by a policy someone has to remember.

What it doesQueued at setup
  • The database refuses UPDATE and DELETE on the log
  • Decisions, approvals and access events captured
  • Export as CSV or JSON on demand
  • Also available to public-sector and finance workspaces
And everything else

These sit on top of the whole product.

  • Team Availability is the board the rota feeds: who is on, on leave or on a part day, and until when, before anyone is booked
  • Training holds every mandatory course and certification per person - provider, link, status from planned to completed - so the evidence is a filter rather than a fortnight
  • The Policy Library holds each policy with its effective date and one authoritative text, and an announcement of it comes back acknowledged by name
  • Checklists & SOPs run the intake and discharge procedure, the audit-readiness walk and the new-starter induction the same way in every department, with a tick and a name on every step
  • RAID is a tab on every project, so an incident and its follow-up are logged where an auditor can follow them months later
  • Administrative meetings become owned action items without anyone taking minutes, with a steer on the recorder for a case conference, a handover round, a policy or training session and a supervision
  • Offered at setup, one tick each: Announcements, Intake as the front door for requests and referrals, the Risk Register, Recurring Tasks for the refresh that comes round every year, the Ledger for estates and equipment, Approvals and the Decision Log
  • Autopilot plans the programme and works around whoever is actually on shift; chat, calls, mail and the calendar are in the same workspace as the work
  • Deleted items sit in a recoverable bin before they are purged; SAML/SCIM single sign-on, and two-factor authentication the workspace can require of every member

What we don't claim

The honest edges.

  • Noots is not a certified system. We do not claim HIPAA compliance, SOC 2, ISO 27001 or any other certification, and no page on this site says otherwise.
  • Redaction runs shortly after a meeting is stored rather than before it is written, and no rule set catches every phrasing. Treat it as a strong control, not a guarantee.
  • Noots is built for administrative work - programmes, projects and coordination. It is not an EHR and holds no clinical record.
  • Training holds an expiry period per course and a credential register per person with evidence attached, and it reminds the holder before a certificate lapses. What it does not do is verify a credential with the body that issued it, and the shift scheduler compiles a rota from patterns; it is not a workforce system with leave balances or pay.
Questions

The ones buyers ask first.

Does Noots make us HIPAA compliant?
No, and we will not say otherwise. Noots holds no HIPAA, SOC 2 or ISO certification. The PHI Redaction Engine and the Compliance Audit Logger are controls you can point at during your own assessment; the assessment itself remains yours.
When does redaction happen?
It runs as the first step of the meeting pipeline, which is the choke point every capture path shares - the meeting record, the action items, the tasks the meeting created and the RAID entries written in flight. It runs shortly after the meeting is stored rather than before it is written, and no deterministic rule set catches every phrasing.
How do rotating shifts change the rest of the product?
They replace the 9-to-5 assumption everywhere it is used. The same resolver answers the availability checker, Autopilot's scheduling and the presence dot beside a person's name, so a nurse working an overnight block reads as working rather than away.
Can an administrator edit the compliance log?
No. The database refuses UPDATE and DELETE on the event table, so the log is append-only for every role including administrators. Events are not purged; retention is stated as policy rather than enforced by a job.
How do we show that mandatory training is current?
Training holds each course per person with its provider, a link, a status and an expiry period, so a completion carries the date it runs out. The workspace shows who is current and who has lapsed, the holder is reminded before the date and told when it passes, and a credential register holds the certificate itself with its evidence file. A policy published in the Policy Library and announced comes back acknowledged by name, and the list of who has not answered is one filter.
