A general notetaker hears an hour of a client call and hands back bullets in which a hedge has become a promise and a date somebody floated has become a deadline. Set the workspace to Legal and the same hour is read differently: what the client instructed is kept apart from what the firm advised, with the hedges intact; a calendar entry appears only where somebody actually said a calendar day, in the words they used; every named party on any side is listed, because that is what a conflict check runs against; and the reading is told, in capitals, that it does not compute deadlines. new work lands in one queue, not five inboxes

Intake takes the request with a category, a priority and a description, and a partner triages it, assigns the owner and moves it from new to done. The matter waits in that queue until your conflict check clears - Noots holds the queue and the record of who cleared it to start; it does not run the search. Once it opens, the matter is a project: its Backlog is the work not yet scheduled, its Budget tab is the fee estimate against what has been spent, and the court date goes on the calendar with a reminder in front of it.

the client call is read as matter work, not as a status update

A step somebody has to take - draft, file, serve, obtain, instruct counsel, chase a document - becomes a card with a description, a checklist, a priority and a real due date where a date was stated. A hearing, a filing date or a call with the other side becomes a calendar entry. Authority the client gave, to settle, to proceed, to accept or reject, goes to the Decision Log with the verbatim sentence and the person who said it. Advice given becomes a note with a quote, never an action item, because advice is not a task. And where somebody named a triggering event and a period rather than a day, the reading records the event, the period and the words and refuses to do the arithmetic: counting rules differ between courts and again for a period measured backwards, so a date this product invented and put in your calendar would be worse than no date at all.

A timer runs from the task, or the entry is added afterwards. Rates resolve per user, per matter or per firm, and the Billing tab turns the week's unbilled hours into an invoice with every line item exportable as CSV. Nobody reconstructs a Friday from memory. Approvals routes the draft to the named approver and records who approved what and when, on the task the work lives on, and the engagement letter itself is on that client's Renewals tab with its end date, so the retainer that lapses in March is on a list in January.

What we don't claim

The honest edges.

  • The matter-aware reading changes how a meeting is summarised and what reaches the workspace: cards, calendar entries, decisions with their quotes, notes and reminders, on the matter's own project. There is no matter register and no matter tab of its own.
  • There is no privileged mode and no restricted-audience switch. The reading is told to be conservative about how much of the advice it reproduces, which is a property of how the note is written, not a control over who in your workspace can open it.
  • Nothing captures billable time by itself. An hour is a timer somebody started on the task or an entry somebody added afterwards.
  • Noots does not run conflict checks. Intake gives a new matter a queue, a category, a priority and an owner; the conflict search itself stays with your practice-management system.
  • Noots holds no court's rules and computes no deadline. A date is one a person put on the calendar with a reminder, and the summariser records the words somebody used rather than a day it worked out.
  • Invoices are produced and exported by Noots. Sending them, collecting them and client-account handling stay in your accounting system; there is no trust or client-account ledger.
  • Approvals record an internal sign-off against a task. That is not a qualified electronic signature.
  • There is no legal-hold, e-discovery or court-filing function, and Noots holds no SOC 2 or ISO 27001 attestation.
Questions

The ones buyers ask first.

Will it calculate a filing deadline?
No, and refusing to is the most emphatic line in the whole appendix. Where somebody names a triggering event and a period, it records the event, the period and the sentence, never the computed day - counting runs differently between courts, differently again for a period measured backwards from a date, and local rules and standing orders override the general rule constantly. The same goes for whether a limitation period has run, whether it was tolled, and whether a filing was timely: if a person in the room said it, the note records that they said it, attributed to them. Noots holds no licensed rules content and will not pretend to.
Does Noots run conflict checks?
No. Intake gives a new matter a queue, a category, a priority and a named owner, and records the person who cleared it to start. The reading does list every party named on any side of a call and flags where somebody mentioned a conflict, without ever asserting that one exists - but the search itself stays in your practice-management system. Noots holds the decision, not the database behind it.
How long does Noots keep a recording and a transcript?
For as long as you leave it, which is the honest answer: with nothing set, a transcript is kept. A workspace, or a single project inside it, can be given a retention period, after which a sweep destroys the transcript Noots holds and asks the recording provider to delete its copy. Two things we will not say about it: that it makes you compliant with anything, and that the transcript is encrypted at rest, because it is stored as ordinary text in our database.
How are billable hours priced?
A timer runs from the task, or the entry is added by hand afterwards. The rate resolves per user, per matter or per firm, and the Billing tab turns unbilled hours into an invoice with every line item exportable as CSV. Nothing is billed automatically from a recording. Sending and collecting the invoice stays in your accounting system.
Is Noots a document management system?
No. Files attach to matters, tasks and meetings and are searchable there, and Codex - the workspace handbook - holds written precedent and runbooks as pages. It is not a DMS for engrossed documents and it has no legal-hold or e-discovery function.
Can we require sign-off before something leaves the firm?
Approvals routes a request to a named approver and records who approved what and when, against the task itself rather than in a mail thread. It is an internal sign-off record - it is not a qualified electronic signature.
