Training
Courses, assignments with due dates, quizzes, and a credential register that warns before things lapse.
Training is the workspace's record of what people have been given to do, what they have done, and what they hold. It is an extension, ticked for you by the Healthcare Administration, Government & Public Sector and Education industries and installable on any workspace from Org settings → Extensions. Everything described here works on every plan; the only part that needs a paid one is asking Hoot to write material for you.
The tabs
| Tab | What it holds |
|---|---|
| My training | What you have been assigned, with its due date and how far you have got. The app opens here if anything is waiting on you. |
| Courses | The catalogue - each course with its content or link, an owner, a category, and how long a completion of it stays valid. |
| Library | Ready-made courses that ship with the product. Take one as it is, or copy it and edit it. |
| Quizzes | Build, publish and sit quizzes, and settle any answer that was held for a person to read. |
| My record | Your own completions and credentials, and which of them are current, expiring or lapsed. |
| Credentials | The register of licences, tickets and certificates. You see your own; a manager sees everybody's. |
| Assignments | Manager only. Every assignment in the workspace, how far each has got, and who has not been assigned yet. |
| Who is due | Manager only. Everything lapsing within ninety days or already lapsed, with the compliance picture above it. |
Assigning training to people
Anybody can write a course. Assigning one is the part that needs permission - the same members-manage permission owners, admins and managers hold, and any custom role you have granted it to. You can assign a course or a published quiz to one person, a team, a division, or everybody in the workspace, with an optional due date, and marked required or optional.
- Everybody assigned gets their own notification naming the item and its due date.
- A due date in the past is refused as you set it, rather than quietly accepted.
- Nobody is swept in afterwards. Somebody who joins a team later is not silently handed that team's existing assignments - a dated obligation that appears because you changed teams is a surprise. The Assignments tab tells you who is not assigned yet and lets you decide.
- A project squad cannot be an audience: it is a team attached to a project, not part of how the organization is arranged.
A dated assignment gets up to three nudges a week apart, the last of them landing on the day it is due, at 09:00 on that person's own clock. Completing it withdraws whatever is left rather than letting them run on. If it does go past its date, a required item sends one overdue notice, once, to the person who owes it and not to the manager - a bell is for what is addressed to you. An optional item is never called overdue at somebody, though it still reads as overdue in the manager's own view.
Quizzes
A quiz is a set of questions with a pass mark - 80% unless you change it - and an optional cap on how many attempts somebody gets. Questions come in four kinds: one answer, several answers, true or false, and a short written answer. Marking happens on the server, and the answer key never travels to the person taking it.
The first three kinds are marked automatically. A written answer is compared against the wordings the author listed, ignoring case and spacing - and if it matches none of them it is held for a person to read, not marked wrong. One held answer holds the whole attempt, so there is no score and no pass until somebody settles it. A marking scheme that quietly fails a correct wording nobody thought to list is worse than asking a human.
Passing a quiz completes an open assignment of it for you. Whoever wrote it, and whoever assigned it, are told when a held attempt is settled. Hoot can also draft a quiz from a course's own written material, and what it drafts arrives unpublished - nobody can sit it or be assigned it until a person has read it and pressed Publish. It refuses to draft one from a course that is only a link to somebody else's page, because it does not read that page, and a quiz written from a model's memory of a subject is not your organization's test.
The library
The Library is a set of ready-made courses that ship with the product, in four groups: Industry practice - site safety inductions, handling personal and health information, records and disclosure, client confidentiality, safeguarding and the rest; Using Noots - what a Noot is, a meeting becoming a board, Hoot and Autopilot, chat, the calendar, files, Forms, Signatures, org structure and extensions; Project delivery; and Workplace essentials. Nearly every one of them carries a quiz already written.
Use this copies a module into your own catalogue as an ordinary course you then own and can edit freely; pressing it a second time reuses the same course rather than making a duplicate. Assign creates it and assigns it in one press. Every module is available to every workspace - the industry a module is tagged with only decides what floats to the top of the list, never what you are allowed to use.
Completions, credentials and what is about to lapse
A completion is a person finishing a course, dated, taking its expiry from that course's own validity period. A credential is a standalone entry in the register - a licence, ticket or certificate with its issuer, the day it was issued, the day it runs out, and a scan attached as evidence. Both are visible to the person who holds them and to a manager, and both can be recorded for somebody else by a manager.
- Reminder before something lapses
- 30 days beforehand, at 09:00 on the holder's own clock.
- On the day it lapses
- One notification, to the holder.
- Expiring soon
- Within 30 days. The manager's Who is due list looks 90 days ahead.
- Evidence files
- A PDF or a picture, up to 6 MB, readable by the holder and a manager and nobody else.
- Plan
- On every plan, Free included.
Deleting a course takes its completions with it. Archive takes it off the list and leaves every completion, every certificate date and the whole compliance picture exactly as they were. If anybody has done it, archive it.
Hoot will also write a training guide from a prompt, or expand one you have started, handing it to the same editor you would otherwise have typed into. That is the one part of Training that needs a plan: writing material with Hoot is on the Business plan and above, and the editor itself is free on every plan.
Noots holds no reporting line, so there is no view of "my reports" here and a manager means somebody holding the members-manage permission. Training does not verify a credential with the body that issued it - the dates and the evidence are what somebody entered and attached. And a course's expiry period is your own policy written down, not a rule this product imposes or checks against anybody else's.
