The Finances tab

Are we making money, where does it go, and is the plan funded - Overview, Income, Budgets, Spend and Profitability on one page.


Finances gathers the money side of the workspace in one place. It has five sections, picked from the strip at the top: Overview, Income, Budgets, Spend and Profitability. The header holds a scope picker (the whole organization, a division, a program, one project, one client or one goal) and a period picker (a month, a quarter, a year or your own dates). Quarters and years follow your workspace's fiscal year.

Who sees it

Finances needs the finance view permission, and changing anything in it needs finance manage. Owners and admins have both; an owner can give them to any role in Org settings → Roles, so a finance lead does not have to be an admin. Somebody without the permission sees a page that says who can grant it, and no figures anywhere - not on this tab, not on a client's page in the CRM and not on the Organization overview. A project's own Budget tab works exactly as before for the people on that project.

Overview

  • Revenue - what was recognized in the period (money received and invoices paid) and what is still expected (what income sources expect and invoices sent but not yet paid); the bar is the received share of the two together. Also the recurring run-rate per month and per year.
  • Spend and margin - expenses, write-offs and, if you can see workforce cost, the cost of logged and planned time. Margin is revenue minus that cost. Without the workforce cost permission the labour figure and the margin say Hidden with the reason, never zero.
  • Tiles for outstanding and overdue invoices, cash expected in the next 30 days, how many projects have a budget, and the money not yet given to a project.
  • What to look at - a short summary of what needs attention. On the Business plan it is written by AI from the figures you can see; otherwise, and whenever the AI is not available, it is written from the alerts. The AI never states a figure: every number on the page comes from your records.
  • Variance alerts, found by rules rather than AI: a budget that will run out before its end at the current pace, spend already past a budget, a client or project whose margin is under your threshold, a recurring payment that did not arrive (after a week's grace), and spend in a category above its plan. Each one opens the thing it is about.
  • Budget burn for every project with a budget, with the date it runs out at the current pace. A project with no budget says No budget set with a button to set one - it is never counted as zero.
  • Cash expected in over the next 30, 60 and 90 days.

Every chart shows its exact figure when you point at it, tab to it or tap it; a tap keeps it open until you tap elsewhere or press Escape. A figure marked Hidden shows why the same way.

Income

An income source is money a customer pays: recurring, a retainer, a one-off or a milestone, with an amount, a currency, a cadence or an expected date, and optionally the client, the deal, the project and the program it belongs to. Record a received payment against a source by hand. A won deal in the CRM has Turn into income, which asks how the client pays, the amount (for a recurring source or a retainer, what is paid each period - not the deal's total) and, for a one-off or a milestone, the day it is expected; it is never created on its own.

Budgets

Every project's budget, read from the project itself, so Finances and the project's Budget tab always show the same number. Money can be put into a workspace pool, given from the pool to a project or program, or moved between projects. Each move is recorded with its reason and both balances, and a move at or above your approval threshold waits for an approval.

Spend and Profitability

Spend lists expenses, claims, vendors and renewals by category, with losses and write-offs shown as they are. Profitability shows, per client and per project, revenue minus the cost of the work, over time, and is where bill rates, client links and invoices live now. Invoice numbering and the lock on invoiced hours are unchanged.

Alerts in your bell

Once a day, people who can manage finances get one bell per alert, at most once a day each. Each person is told only about what they can see: an alert about a private project never reaches somebody outside it. The bell's title says what kind of alert it is and never names a project or an amount, so nothing private shows on a locked phone.

Clients in the CRM

With finance view, a CRM company shows a Money panel: the next expected payment and any missed one, revenue recognized and forecast this year, what they owe and what is overdue, the margin, their income sources, and the projects and goals serving them. People who can manage finances can Record a payment there and Add income source. A deal shows its income source, or Turn into income once it is won, and the client's sent invoices - which open in Finances for people who can bill. Add income source opens the form with the client already picked, and Owed to us opens the client's profitability and invoices.

Linking grids and goals

An income source, a project's budget (from Linked grids on the Budgets section), a program or a goal can link a grid - a pricing model, a forecast sheet - so the numbers behind it live next to it. A link is a pointer: no figure on this page is read from a linked grid. A link never shows anybody a grid, project or goal they could not already open; a linked item you cannot see is counted, not named.

Is the plan funded? (Strategy)

With finance view, a goal's page on Strategy has an Is the plan funded? panel: the money allocated to the projects and programs under the goal, the labour committed to that work (with the workforce cost permission), what has been spent, the burn per month and the day the allocation runs out at that pace. Each line is marked funded, tight or over, and the Portfolio shows the same for each project in a Funded column. An outcome on a goal can also be fed by a finance figure (revenue, margin or spend); it is updated once a day from the projects everyone in the workspace can see.

Settings and currencies

Finance settings (for finance manage) hold the margin threshold, the month your fiscal year starts, and the approval threshold for budget moves. Amounts in different currencies are always shown side by side and never converted or added together, and the page says so whenever more than one appears.

Private projects

A project you cannot see is never named on this tab, and its money is left out of the totals you see; the page says how many were left out. The one exception is Spend: when two or more projects you cannot see share a currency, their spend is shown as one unnamed line; a single hidden project's spend is never shown on its own, so its amount cannot be worked out.
